Overview
Position Title: Email Administrator
Key Responsibilities:
1. Email System Configuration & Management:
o Install, configure, and maintain email servers (e.g., Microsoft Exchange,
Office 365, Google Workspace, or other email platforms).
o Administer and configure email routing, domains, and user mailboxes.
o Implement and manage email retention policies and archiving solutions.
2. Email Security:
o Monitor and enforce email security protocols (e.g., SPF, DKIM, DMARC) to
protect against phishing, spam, and malware.
o Administer email encryption and secure email delivery systems.
o Implement and manage anti-virus and anti-spam measures.
o Perform regular email security audits and recommend improvements.
3. Troubleshooting & Support:
o Provide technical support for email-related issues to end-users and other
departments.
o Diagnose and resolve email delivery problems, mail flow issues, and other
email-related technical problems.
o Perform root cause analysis of recurring issues and proactively implement
solutions.
4. Email Performance Monitoring:
o Monitor email server performance and system health.
o Ensure optimal email server performance and uptime by resolving server-
related issues promptly.
o Track and manage server resources such as disk space, memory, and CPU
usage.
5. User Management & Access Control:
o Create, modify, and delete email accounts and manage user access
permissions.
o Configure distribution groups, mail lists, and shared mailboxes.
o Manage email aliases and forwarding settings.
o Provide training and documentation to users regarding email best practices.
6. Backup & Disaster Recovery:
o Ensure regular backup of email data and implement disaster recovery
strategies.
o Test email recovery processes and maintain updated recovery procedures.
7. Compliance & Reporting:
o Ensure compliance with email-related regulations (e.g., GDPR, HIPAA, CAN-
SPAM Act).
o Generate reports on email system usage, traffic patterns, security incidents,
and other relevant metrics.
8. Collaboration:
o Work closely with IT teams (network, systems, security) to ensure integration
of email systems with other services and platforms.
o Stay updated on new email technologies, trends, and best practices,
recommending improvements as necessary. Skills & Qualifications:
- Education:
- o Bachelor’s degree in Computer Science, Information Technology, or a relatedfield. Equivalent work experience is acceptable.
- Experience:
o Proven experience as an Email Administrator or similar IT support role.o Familiarity with email platforms such as Microsoft Exchange, Office 365,Google Workspace, and others.o Knowledge of email protocols (SMTP, IMAP, POP3) and email securitystandards.o Experience with email filtering, spam protection, and security technologies.o Strong knowledge of email systems architecture, including serverconfiguration and management.o Familiarity with email migration strategies, including cloud-to-cloudmigrations.o Experience with PowerShell, scripts, or automation tools to manage emailtasks (for Microsoft Exchange or Office 365 environments).o Ability to work with DNS settings related to email (MX records, SPF, DKIM).o Understanding of email-related compliance regulations (e.g., GDPR, HIPAA).o Strong problem-solving and troubleshooting skills.o Excellent communication skills for user support and documentation.o Ability to work under pressure and handle critical email system issues.o Attention to detail and organizational skills.Preferred Qualifications:Associate or CompTIA Security+.Workspace).
